SETTEN Videoconference Checklist

At least 4 weeks in advance, host presenter should:
  1. Work with local site manager to schedule a date and time for the videoconference.
  2. Work with local site manager to complete a Videoconference Scheduling Request form for Site Manager and submit to SETTEN.
  3. Prepare lesson plan and materials and obtain copyright clearance if necessary.
  4. Arrange for remote facilitators, guest speakers, technical support, etc.
  5. Reserve equipment/room at your local site.
  6. Consider room set up.
  7. Develop backup plan.
  8. Schedule a practice session.
Two weeks prior to conference, host presenter should:
  1. Ship materials to remote site(s).
  2. Turn in a participant list to  SETTEN
One week prior to conference, host presenter should:
  1. Make sure that remote sites have necessary materials.
  2. Find out who to contact if there are problems.
  3. Practice with local facilitators/instructors.
Day of Conference, host site manager should:
  1. Prepare room.
  2. Connect with remote sites for pretest.
  3. Check all equipment
  4. Facilitate conference
